THE ROLE
We are seeking an HR Administrator to join our HR team to support ensuring efficient delivery of HR services across the business. The successful candidate will be responsible for managing HR records, coordinating onboarding processes, preparing contracts and HR documentation, and supporting payroll and benefits administration and owning HR system administration on Oracle NetSuite. This role contributes directly to the smooth operation of the HR function.
As the first point of contact for employee queries, the HR Administrator provides accurate guidance on HR policies and procedures. They also support the wider HR team in delivering initiatives that enhance employee engagement, retention, and the overall people experience. This role requires excellent organisational and communication skills, attention to detail, and the ability to manage multiple priorities.
Responsibilities
- Maintain accurate and up-to-date employee records, including contact details, job titles, pay rates, contracts, organizational structure, time-off tracking and other key information.
- Process HR forms and ensure timely issuance of employee documentation (e.g., contracts, amendments, maternity/paternity leave, pay review letters, leaver letters).
- Conduct regular audits of employee records and prepare mandatory compliance reports.
- Ensure compliance with GDPR and company data protection policies.
- Take responsibility for maintaining accurate data across all HR systems, with primary ownership of Oracle NetSuite.
- Act as the first point of contact for NetSuite HR queries, ensuring issues are resolved promptly.
- Run regular and ad-hoc reports on key HR metrics and provide insights for data analysis.
- Support continuous improvement & innovation of HR processes by leveraging HR system functionality.
- Conduct new starter HR inductions and support onboarding activities.
- Conduct or coordinate background checks and right-to-work/eligibility verifications.
- Support HR processes across the employee lifecycle (e.g., leavers, maternity, flexible working, benefits administration & time-off tracking).
- Act as the first point of contact for employees and managers, providing confidential and professional HR support.
- Liaise between employees and the wider HR team to ensure smooth communication and timely resolution of queries.
- Build and maintain strong partnerships & collaboration across the business, ensuring a high level of HR support is provided.
- Handle routine employment-related inquiries, referring complex or sensitive matters to senior HR colleagues.
- Assist with HR projects, initiatives, and continuous improvement activities.
- Support or lead on ad-hoc HR initiatives as required across our global team.
- Coordinate HR-related meetings and record accurate meeting minutes.
- Partner with HR colleagues across different regions to ensure consistent and efficient HR operations.
- Perform other duties as reasonably assigned
Qualifications
- HR degree or CIPD qualified/ studying towards
- Computer literacy in Microsoft Windows, Microsoft Office (Word, Excel, PowerPoint) and other software such as SharePoint.
- Experience using Oracle NetSuite is advantageous, but not essential
