THE ROLE
The successful candidate will be responsible for the Contracts and Proposals Team who create documentation required in response to Requests for Information (RFI), Requests for Proposal (RFP), contract requests, or requests for Change Order, supporting both potential clients and existing customers. They will lead the team to gather information, write, edit and format proposals and related documentation as described above, to ensure they meet requirements and deadlines.
The successful candidate will work closely with the Commercial Team, the Customer Success Team, Operational Teams, Finance colleagues and other key stakeholders to facilitate streamlined and efficient management of the proposals and contracts processes, and timely delivery of high quality and accurate externally facing documentation.
Responsibilities
- Execute the functional strategy and operational direction of the department in alignment with organisational goals, policies and procedures
- Line Manage, coach and develop the team, setting and reviewing objectives
- Resolve complex issues through extensive investigation and analysis
- Influence and communicate with executive leadership to accept adoption of optimised practices and approaches
- Oversees and manages contractual documentation, such as confidentiality agreements and master service agreements
- Assist with update and maintenance of the corporate customer relationship management (CRM) system
- Ensure timely management and compilation of specifications for proposals and contracts, including change orders
- Develop and implement processes to streamline proposal and contract management (improving efficiency and accuracy)
- Oversee the entire lifecycle of contracts, ensuring compliance with legal and regulatory requirements
- Collaborate with Legal, Finance and any other relevant key stakeholder to develop and refine contract templates, negotiate terms and mitigate risks
- Lead contracts and proposals team, providing guidance and to ensure successful execution of all proposals and contracts
- Ultimately accountable for quality and accuracy of all contracts and proposals prepared by and sent out from Phastar
- Participate in various team meetings with sales team, marketing team, and operations team to learn and contribute
Qualifications
The successful candidate should have experience with the following:
- Extensive experience in CRO/pharma environment in a similar role
- Extensive experience with customer relationship management (CRM) systems
- Legal / Financial awareness and understanding of proposals and contracts
- An understanding and background in marketing, sales, business development, and clinical trial principles and processes
- Understanding and vast experience in confidentiality of all client information
- In capacity as Senior Contracts and Proposals Manager, self-organising, adjusting flexibly, proving comfortable with and encouraging new challenges and change
- In capacity as Senior Contracts and Proposals Manager, create vision and work with the Head of Commercial Operations to continuously develop strategy and operational direction of the Contracts and Proposals Team, and how best to support the business
- In capacity as Senior Contracts and Proposals Manager, motivates, nurtures growth and development of Contracts and Proposals Team
- Superior verbal, written, and interpersonal communication skills at all levels
- Close attention to detail
- Ability to work under pressure, meet deadlines, and adapt in a fast-paced environment
- Diplomacy/conflict management aptitude
- Self-motivated with exceptional time management skills and the ability to efficiently prioritise tasks
