Job Description
We are seeking a highly independent and motivated Office All-Rounder to join our clinical research company as an integral part of our office operations. This position requires a full-time presence in the office and offers the opportunity to contribute to various aspects of office management, administration, communication, security, and facilities management.
Full-time, fixed-term contract for 1 year (can be prolonged to permanent, upon mutual agreement)
The scope of responsibilities will include:
- Overall Office Management
- Manage office supplies, equipment and facilities services
- Receive and route all incoming calls, greet visitors, handle incoming inquiries, couriers
- Provide basic maintenance of office equipment
- Handle incoming and outgoing mail and shipments
- Assist with business travel arrangements including booking documentation, and expense processing
- Provide secretarial support, prepare reports, photocopying, shredding etc.
- Communication
- Administration support
- Provide administrative support to the Country Manager and other departments, as instructed
- Support signature flow for non-operational documents
- Prepare all supporting documentation for the need of purchase and procurement procedure
- Organize business events and meetings
- Support filing and processing of documents
- Assist on-boarding process of new hires
- Prepare and submit pass-through reports in compliance with the corporate policies
- Execute 3rd Party vendor payments
- Support in cash management
- Assist in asset management
- Office Security, health and safety
- Other assignments, as necessary
Qualifications
- Work experience in office management, administration, or similar roles
- Strong organizational skills with the ability to prioritize and manage multiple tasks independently
- Excellent written and verbal communication skills
- Full working proficiency in Korean and English
- Proficiency in using office equipment and computer software, including the Microsoft Office Suite
- Attention to detail and strong problem-solving abilities
- Self-motivated and able to take initiative when necessary
- Exceptional customer service skills with a friendly and professional demeanor
- Ability to handle confidential information with discretion and maintain strict confidentiality
